1. General Provisions
This Policy defines the procedure for processing user data of the Discord bot MOD_BOT (hereinafter — the "Bot"). By using the Bot, you agree to the terms of this Policy.
Important: The Bot does not store the content of your messages. Data is used exclusively for:
- Ensuring the operation of the moderation and temporary punishment system
- Maintaining violation history and statistics
- Providing user information through commands
- Automatic birthday greetings
2. What Data We Collect
2.1. Automatically Collected Data
- Discord ID — unique identifier of the user, server, channel
- Username and tag (e.g., User#1234)
- Avatar — URL of the user's avatar (for the /avatar command)
- Date and time of moderation actions
- Punishment reasons (provided by the moderator)
2.2. Moderation System Data
- History of bans, kicks, text and voice mutes, warnings
- Information about temporary punishments (duration)
- Who applied the punishment (moderator ID)
2.3. Statistics Data
- Number of warnings a user has
- General command usage statistics
- Anonymous aggregated statistics
2.4. Birthday Data
When using the /birthday commands and related functions, the Bot stores:
- Birth date — day and month (year is optional)
- User Discord ID — for linking data
- Server Discord ID — for correct display within a specific server
- Server settings — selected channel for congratulations and role for mention
Important: The birth year is not displayed to other users. The /birthdays command shows only the day and month. The year is visible only to you through /birthday.
The data is used exclusively for:
- Automatically sending birthday greetings on the specified day
- Displaying upcoming birthdays via the
/birthdays command
- Mentioning the role in the greeting (if configured by an administrator)
You can at any time:
- Change the date — via
/birthday action: update
- Delete the data — via
/birthday action: delete
- View what is stored — via
/birthday action: view
Birthday change limit: The /birthday commands (set, update, delete) have a limit — once per hour per user. This protects against spam and accidental multiple changes. If you try to use the command earlier — the Bot will show the remaining time.
What we do NOT collect:
- Content of private messages
- Passwords or payment data
- Data not directly related to moderation or birthdays
- Birth year for public display
- Files that are not images (videos, documents, archives)
2.5. Top.gg Data
When using the /vote and /checkvote commands, the Bot stores:
- User Discord ID — to check voting status
- Date and time of voting — to check the cooldown (12 hours)
- Reward status — whether the Voter role has been assigned
Important: The Bot does not store logins, passwords, or other data from your Top.gg account. All data is limited to Discord ID and voting time.
2.6. Ticket Data
When using the ticket system (/ticket_panel, /ticket_setup, /ticket_history), the Bot stores:
- Ticket author's Discord ID — to link the ticket
- Server Discord ID — to separate tickets between servers
- Ticket subject — brief issue description from the modal
- Conversation transcript — all messages from the ticket channel (TXT and HTML)
- Attachments — images attached to the ticket (PNG, JPEG, GIF, WEBP up to 10 MB)
- Open and close dates — for history and statistics
- Who closed the ticket — moderator ID (when closed by staff)
- Close reason — text provided by the moderator (optional)
Important: Ticket transcripts (logs) are accessible via HMAC-signed links. The link is valid for 1 hour, after which it returns "403 Link expired". Forging the link without the secret is impossible.
Ticket data is used exclusively for:
- Processing user requests
- Storing conversation history with moderators
- Providing transcripts on request
- Auditing moderator work (via
/ticket_history)
Attachment security: Only images are allowed: PNG, JPEG, GIF, WEBP. Maximum file size — 10 MB. Videos and other files are blocked. MIME type and extension are verified.
2.7. Voice Mute Data
When using the /vcmute and /vcunmute commands, the Bot stores:
- User Discord ID — who was muted
- Server Discord ID — where the mute was issued
- Moderator Discord ID — who issued the mute
- Mute reason — text provided by the moderator
- Issue time — date and time
- Duration — when the mute will be automatically removed (if temporary)
- Status — active / removed / expired
Important: Voice mute data is used exclusively for:
- Automatic removal after expiry
- Restoring timers after bot restart
- Display in
/history and /stats
Voice mute feature: If a user leaves and rejoins a voice channel, the Bot checks the mute duration. If still active — it reapplies the mute. If expired — it removes the mute automatically.
2.8. Logging Data
When using the /logs_setup and /logs_disable commands, the Bot stores:
- Server Discord ID — to link the settings
- Log channel IDs — the channels you selected for each event type
- Log type settings — which events are enabled (joins, leaves, voice, roles)
Important: The Bot does NOT store the logs themselves (messages, actions, events) on its own servers. All information is sent directly to the channels you specify on the Discord server. The Bot only stores the settings (which channel to send to).
2.9. Message History
To ensure the operation of the moderation and audit system, the Bot stores message history in its own database.
- Message content — the text of the sent message
- Author — Discord ID and username
- Channel and server — Discord ID of the channel and server
- Timestamp — date and time of sending
- Attachments — links to media files (if any)
- Deletion data — who deleted the message (moderator or bot) and when
- Edit data — original text and text after editing
Retention periods:
- Regular messages — up to 90 days
- Deleted messages — up to 7 days
After this period, data is automatically deleted from the database.
What is NOT stored: The Bot does not store messages from direct messages (DMs) or from channels it cannot access.
2.10. Filter Data (Stop Words and Banned Words)
When using the /stopwords_add, /bannedwords_add, and related commands, the Bot stores:
- Word lists — the stop words and banned words you've added
- Server Discord ID — to link the lists to a specific server
- Notification channel IDs — where to send logs about detected words
Important: The Bot stores only the word lists themselves. Filter trigger logs are sent directly to the Discord channels you specify and are not stored on the bot's servers.
2.11. Weather Data
When using the /weather, /forecast, /air_quality, and related commands, the Bot stores:
- User Discord ID — to save personal settings
- City name — that you provided (for the
/set_my_city command)
- Measurement units — chosen by you (°C or °F)
Important: The Bot does not store the history of your weather requests. The city name is passed to a third-party OpenWeatherMap API (or similar) solely to retrieve the current forecast.
2.12. Translation Data
When using the /translate, /set_my_language commands, and the "Translate this message" context menu, the Bot stores:
- User Discord ID — to save the target language
- Target language — chosen by you (e.g., Russian, English)
Important: The text you translate is NOT stored in the bot's database. It is sent directly to the DeepL API for translation and immediately displayed to you (ephemerally). The Bot only stores usage statistics (character counts) without linking them to the content.
2.13. Announcements and Utility Data
When using the /announce, /embed_create, /invite, and /slowmode commands, the Bot does not store your texts, links, or settings in a long-term database. All actions are performed "on the fly" and sent directly to Discord.
Important: To operate the embed builder (/embed_create), settings are temporarily stored in the bot's RAM for 15 minutes while you edit the message. After sending or after 15 minutes, the data is permanently deleted.
3. Data Storage and Protection
- Storage location: Hosting provider servers
- Storage periods:
- Violation history — up to 30 days
- Temporary punishment data — until the punishment expires

/birthday action: delete
- Voice mute — through the server administrator (the
/vcunmute command removes the mute, but the history is kept)
- Punishment history — through the server administrator

Important: Server administrators have the right to remove your birthday data using the /birthday_admin_remove command if they consider the data to violate server rules.
5. Age Restrictions
The Bot is not intended for use by persons under 13 years of age. Using the bot means that you meet Discord's age requirements and your local legislation.
Especially important: If you are under 13 years old, do not provide your birth date without parental consent. Server administrators cannot verify the age or authenticity of users' data.
